Manual follow-ups gone, clients finishing their forms, and the team always knowing where every project stands all built inside GoHighLevel.
ABOUT THE CLIENT
Phoenix AZ Ad Agency is a digital marketing agency that does web design, SEO, and paid ads. As the agency grew and started taking on more clients, onboarding became a problem. What used to be manageable was now slowing everything down.
Clients were meant to fill in a set of intake forms when they signed up, but many would stop after the first one. The team was spending hours chasing people through emails and phone calls just to get basic information, and projects could not start until that information came in.
They brought me in to fix the whole thing inside GoHighLevel. I built a system that handled follow-ups on its own, sent the right forms to the right clients, kept the team in the loop, and made sure no lead ever slipped through the cracks.

Four things that were slowing the agency down.

Clients Were Dropping Off Mid-Onboarding
Most clients filled in the first form and then stopped. No one was pushing them to continue and the team had no way to do that without picking up the phone or writing an email.

No Visibility Into Where Anyone Was
The team had no clear way to see which clients had finished their forms and which had not. Everything had to be checked manually, which took time no one had.

Every Lead Got the Same Process
Whether someone bought SEO or web design, they went through the same onboarding path. The wrong forms were going to the wrong people and nothing felt right.

New Leads Going Cold Before Anyone Responded
Enquiries from the website were not always caught in time. There was nothing in place to alert the right person the moment a lead came in.
Five systems that fixed the whole process.
I built a visual pipeline inside GHL that tracked every client from the moment they signed up all the way to project kickoff. As soon as a client submitted their first form, an opportunity was created and moved through the pipeline on its own, so the whole team could see where each client was at any time.
Business Impact
Every client tracked from sign-up to kickoff
Pipeline stages move without anyone touching them
Whole team can see progress in real time
I built conditional workflows that looked at what service each client had bought, applied the right tags, updated their record in the CRM, and sent them down the right onboarding path. A web design client got web design forms. An SEO client got SEO forms. No overlap, no confusion.
Business Impact
Each client only sees what applies to them
Tags applied and CRM updated on its own
Right onboarding path assigned every time

If a client finished the first form but did not move on to the next one within the set time, GHL sent them a friendly reminder with a direct link to pick up where they stopped. This kept going for every form in the process until it was all done, without anyone on the team having to lift a finger.
Business Impact
Reminders go out on their own after set time
Direct link takes client back to exact step
Keeps going until all forms are done
Once a client finished onboarding, they did not just go quiet until the project was done. I set up a series of emails that went out over the weeks and months that followed, sharing useful information, building trust, and keeping them engaged while the team worked.
Business Impact
Emails go out on a set schedule on their own
Clients feel looked after throughout the project
Builds trust without extra effort from the team

I set up automatic alerts so the right account manager was notified the moment a client hit an onboarding milestone or submitted their final form. I also wired up the website so every new enquiry went straight into GHL, created a contact, entered the right pipeline stage, and pinged the sales team right away.
Business Impact
Account managers notified the moment a step is done
Projects can start straight away, no waiting
Every website lead captured automatically
A slow, manual process. A fast, hands-free one. Here is what changed.
